Summary:
We are seeking an administrative assistant to work part time (20 hours) during business hours (Monday to Friday, 9:00am-6:00pm) with in-person attendance (at least 3 days). The candidate will provide clerical, secretarial, billing, and general office support for attorneys, the legal operations manager, and legal staff.
Duties and Responsibilities:
- Under general supervision, the candidate will prepare formal correspondence and/or communicate via email or telephone to obtain and/or provide information.
- Compile data and enter information into database(s).
- Input invoices to billing systems; process forms, and research payment status.
- Assemble, organize, and/or file documents.
- Research information and/or gather materials.
- Coordinate appointments and arrange meetings; assist with special events.
- Sort and distribute mail; create Fed-Ex labels; print, photocopy, and/or fax documents.
Experience:
- 0-2 years of experience.
Skills and Abilities:
- Well-developed written and verbal communication skills.
- Ability to follow complex instructions with high degree of accuracy and attention to detail.
- Ability to handle multiple tasks.
- Ability to act autonomously.
- Preserve confidentiality.
- Ability to type a minimum of 35 wpm.
- Knowledge of general computer and office equipment (i.e. copier and printer).
- Familiarity with Microsoft Office.
- Experience with law firms, litigation, or law departments preferred.
- Experience with Ariba and Legal Tracker a plus
Location:
- This role requires you to be onsite at our Boca Raton, FL headquarters, three days a week. The other two days are remote, offering the flexibility you need while still engaging in meaningful collaboration with cross-functional teams.
