Summary:

This position is responsible for providing administrative support to the Director of Monitoring, Training, and Dealer Support, with a team of over 120+ employees. Will manage multiple projects and priorities in a fast-paced environment. The right person will enjoy

problem solving and bringing common sense solutions to challenges they face. The role will play a critical part in facilitating communications across different teams.

Duties and Responsibilities:

• Maintain multiple extensive tracking systems and auditing processes within the Monitoring Department. Perform statistical analysis, when needed. Draft documents and memos, coordinate internal team communications, organize and maintain confidential records, distribute incoming mail. Scan and digitally file documents. Assist with operational functions, once trained. Serve as a backup to the payroll and facilities coordinator, as needed. Additional duties, as assigned.

• Assist in coordinating meetings, facility functions and special events. Responsible for all decorating of the center/building each month, coordinate holiday events and maintain all employee morale boosting programs, recognitions, displays, notifications, functions, employee relations slideshow, etc. Maintain and monitor all supplies for such functions in the warehouse. At times, this may require use of a personal vehicle and/or working flexible hours occasionally. Mileage will be reimbursed.

• Ensure that the building is presentable for dealer visits at all times. Alert the facilities coordinator, maintenance and management of any issues concerning building safety, presentation and/or function of the building. Coordinate needs of the staff in the building and prepare meeting rooms for open houses, in-house meetings, executive visits, etc. Assist in researching vendors for building repairs and maintenance. Organize and tracks all cleaning and office supply inventory. Communicate with vendors on site. Assist maintenance with vendor visits.

• Assist Recruitment and training department with interviewing and onboarding of new hires. Assist with written communications and training documentation, manuals, HR test completion, new hire class preparations, open houses (on and off site), etc.

• Organize and implement fundraising efforts, including both large- and small-scale fundraising functions. Make suggestions to management regarding creative means of achieving goals. Interact with the public on behalf of CMS. Represent the company at occasional off-site events.

Minimum Education and Experience Requirements:

• High School diploma or equivalent, required.

• 1 year office administrative experience.

• 1 year of customer service experience.

Preferred Education and Experience Requirements:

• College degree

• More than one-year related experience and/or training.

• Equivalent combination of education and experience.

Additional Skills and Certifications:

• Advanced computer skills (Microsoft Office Suite: Word, Excel, PowerPoint, Outlook, Teams). Strong Microsoft Excel background.

• Strong writing and presentation skills

• Strong interpersonal skills with the ability to maintain confidential information.

• Highly organized, autonomous and detail oriented.

• General knowledge and understanding of corporate organizational structure, functional responsibilities, and general operations

The pay range for this role is $20.24 – $30.36 an hour and is based on experience and qualifications. We offer employees access to healthcare benefits, a 401(k) plan and company match, short-term and long-term disability coverage, life insurance, wellbeing benefits and paid time off among others. Employees accrue up to 120 hours in their first year. Your accrual rate increases after your first year. We also offer 6 paid holidays.
